Privacy Policy

This Privacy Policy describes how Summit Aviation Maintenance (“Summit Aviation Maintenance,” “we,” “us,” or “our”) collects, uses, and protects information in connection with the Summit Aviation Maintenance Portal — our staff hub at hub.summitmaintenance.aero and our customer portal at myaccount.summitmaintenance.aero(together, the “Service”).

The Service is an operational tool used to manage aircraft-maintenance customers, scheduling, records, and billing. It is not a consumer marketing service, and we do not sell personal information.

Information we collect

• Account & profile information. For staff, your name and email from your company Google sign-in. For customers, your name, email, and the users you authorize on your account (customers sign in with a one-time emailed code — no password).
• Customer & aircraft records you or our staff provide, including aircraft registration (N-number), make/model, meter readings (tach/Hobbs), maintenance program enrollment, service requests, squawks, appointments, and uploaded documents such as logbooks and insurance certificates.
• Billing information. Invoices for maintenance work and, if you choose to provide it, bank-account information used to authorize ACH payments. Full bank details are stored only inside the signed authorization document in our restricted document storage; the Service otherwise keeps only masked metadata (e.g. bank name and the last four digits).

How we use information

• To operate customer accounts, scheduling, and the shop calendar.
• To track aircraft maintenance status and upcoming inspections, and to plan and record shop work.
• To prepare, deliver, and account for invoices and payments.
• To send transactional email about your account, appointments, and records.
• To keep records required for our business and for regulatory recordkeeping.

Service providers & integrations

We share information only with the service providers that help us operate the Service, and only as needed to provide it:

• Google — staff sign-in (OAuth) and Google Drive, where we store customer documents and generated PDFs in a private Summit Aviation Maintenance folder.
• FlightCircle — to read reservations, aircraft, squawks, and maintenance reminders for aircraft you authorize.
• EBIS (Midwest Avionics) — the maintenance shop system of record for work orders and invoices.
• Intuit QuickBooks Online — to create invoices in your or our QuickBooks company for accounting and payment (see below).
• Resend — to deliver transactional email.
• Vercel & Upstash — application hosting and data storage.

QuickBooks (Intuit) data

When a QuickBooks company is connected, we access it only to look up or create the customer and invoice records needed to reflect maintenance work — for example, matching a customer and posting an invoice for a completed work order. We access the minimum accounting data necessary for these functions. We do not sell Intuit data, and we do not use it for advertising. You can disconnect QuickBooks at any time from within the Service or from your Intuit account, which revokes our access going forward.

How we share information

We do not sell your personal information and do not share it with third parties for their own marketing. Beyond the service providers listed above, we may disclose information if required by law or to protect our rights, property, or safety.

Data retention & security

We retain customer, maintenance, and billing records as long as needed for business, safety, and recordkeeping purposes. We use reasonable administrative and technical safeguards — including encrypted transport, access controls, and restricted storage for sensitive documents — to protect information. No method of transmission or storage is completely secure.
